Ceremony

1.        Are you licenced for marriages?

Yes, the Cartshed & Haybarn is licensed for civil ceremonies

2.        How many guests can you accommodate for onsite ceremony?

The Cartshed can seat 120 guests undercover, with the ability to increase to 140 using additional seating on the adjoining lawn area.

3.        Can we throw confetti as part of our ceremony?

We welcome dried petal confetti to be thrown inside the Cartshed at the close of your ceremony. We can’t allow paper confetti whether biodegradable or otherwise.

4.        Do you allow dogs to be part of our ceremony?

Yes, of course! You’re more than welcome to include your four-legged friend as part of your ceremony and they are welcome to stay for your drink reception on the lawn. We ask that they are kept on a lead for the duration and are allocated a ‘buddy’ who can look after them whilst you’re busy! We unfortunately can’t offer overnight stays for dogs, so they would need to be taken offsite as the drink reception ends. Enjoy your whole weekend or mid-week wedding ceremony celebration here. The Haybarn offers Summer and Winter weddings and Small & Intimate and Elopement weddings. A wonderfully romantic barn wedding space in a tranquil, rural setting. The Haybarn’s private and peaceful location makes for the most enchanting celebration. It offers a grand reception space, cosy corners for catching up and chilling out, large bar area and lots of dance floor. Gorgeous riverside grassed areas allow for fun lawn games and wonderful photo backdrops. The Haybarn is very versatile, easily adapting to your unique style.

Suppliers

1.        Do we have to use a specific caterer?

We have four recommended caterers who we work with year upon year due to their quality, pricing and fit to the venue. You are welcome to enlist outside caterers, pending a site visit with the caterer to the venue, an additional fee, and the provision of the relevant documentation. 

2.        Do you provide a cake cutting service?

Most caterers will offer a slice and serve option alongside the provision of tea & coffee which we recommend.

3.        Do you have preferred suppliers to recommend?
Yes, we will share with you our list of ‘Haybarn Friends’ who know and love the venue and work brilliantly in our spaces. You are welcome to enlist suppliers outside of this range so long as they sign our venue terms and provide the relevant PLI certification.

Drinks

1.        Can we bring our own wine or other drinks for a fee?

If there are drinks you would like to have on offer that you can’t see on our wine and bar menus, please let us know as we can likely source them from our suppliers. We don’t offer corkage fees in-light of this. Please note we can’t accommodate keg beers or lagers at the venue. We welcome mini bottles of alcohol as favours.  

2.        Can our guests pay cash or card at your bar?

Yes, we accept both cash and card at the venue. If you’d like to arrange a bar tab, we ask for this to be pre-paid before your arrival.

3.        What drinks do you offer behind the bar?

Herefordshire is a treasure trove of incredible drinks suppliers. We work with local vineyards, orchards, breweries, and distillers and have created a drinks menu which shows off the best of the region’s produce as well as popular brands that you would expect to see.

4.        Can we set up a tab for drinks?
Yes, and we can let you know when you are reaching your limit, so that should you wish to extend it, you can. Payment will need to be taken as part of your final invoice.

5.        What’s included in your drink package?

Our suggested package is £28 per person and includes:

-            2 x drinks during the drinks reception (Prosecco, Cider, Lager, Ale, Apple juice)

-            1 x glass of toasting Prosecco

-            ½ bottle house wine on tables.

Upgraded wines plus upgrades to Champagne and or Cocktails are available. 

6.        Until what time can our celebrations continue?

Our licence for serving alcohol and playing music (recorded or live) is midnight. Last orders are called at 23:30.

Accommodation

1.        How many people can you accommodate onsite overnight?

We can accommodate 22 guests from May-Sept, and 14 guests in the low season (April, October and December) as Glamping isn’t available then. 

2.        Can our guests bring tents or camper vans to stay on site over night?

No, we have nearby recommended suppliers who offer this.

3.        What time is check out the next day?

Standard check out is 10am of all accommodations and to have all decorations removed from venue spaces. You’re welcome to opt for a later check-out of the Haybarn and accommodations (excluding Farmhouse B&B) at 1pm, for which there is a fee of £400.

Transport

1.        Do you have sufficient parking space?
We have ample hard parking space which is situated on the left as you enter the farm; we also have an adjacent overflow car parking area.

2.        Is there access for coaches?
Yes, coaches will be able to gain access and there is a turning space for them.

3.        Can cars be left overnight?
Yes, but at owners’ risk. Please ensure that cars are off the property by 10am at the latest.

4.        Taxis
We have a number of taxi companies we use on a regular basis, numbers for which are included in our preferred suppliers document. Taxis must be booked by all guests in advance as there is no regular phone signal at the venue to be able to do so on the day.

5.        Disabled access

The Haybarn and Cartshed are fully accessible; we have a lift and a ground floor accessible toilet. Home Barn has a comfortable sofa bed on the ground floor adjacent to the lounge area and with a privacy curtain. There is a toilet on the ground floor of Home Barn plus access to a ground floor shower/toilet room in the lower ground of the Haybarn, which can be easily accessed via the back door of Home Barn.

Miscellaneous

1.        What is your wet weather plan?

In the event of less than perfect weather, we will host your drink reception in the lower ground of the Haybarn, serving drinks from a mini bar. For larger numbers we will also utilise the Cartshed by moving ceremony benches and opening-up the space to be re-enjoyed following the close of your ceremony. These 2 spaces are interconnected by a row of parasols to keep you, and your guests dry! Our upstairs bar will be open for guests to purchase additional drinks outside of your drink package and lawn games will be available to play undercover.

2.        Do you provide in-house MC service?

Your wedding coordinator on the day will oversee everything and work closely with a member of your wedding party who you nominate as MC as part of your planning.

3.        Can we have real candles in The Haybarn?

The Haybarn, being a predominantly timber building, is a flame free venue. This includes cooking in the commercial kitchen, which is part of our venue terms and conditions for suppliers.

4.        What time can we access the venue to decorate?

Your wedding with us is a 2-night stay and you can therefore access the Haybarn and Cartshed at 1pm on the day prior to your wedding. Accommodations will be ready to check into from 3pm but you can of course hang dresses/suits and chill food/drink in the fridges before this.

5.        How many guests can you accommodate for reception and evening party?

The Haybarn can accommodate 120 guests for your wedding breakfast on round tables. Our capacity increases to 140 should you prefer banqueting trestle style tables.

6.        Is your venue exclusive use?

Yes, we only host one wedding on a Thursday and one on a Saturday – the entire site is for your exclusive use only for 48 hours if you opt for a late checkout.

7.        Are there grounds for photos?
Yes, we have acres of fields on the farm and apple Orchards for a range of beautiful photographs in the lovely Herefordshire countryside complete with a Brook and double trees swing.

8.        What is included in your packages?

-            Ceremony space with benches, sheepskins, lanterns, hessian aisle runner, fairy lights & portable PA system

-            Lawn games for drinks reception – table tennis, giant Jenga & cornhole

-            Lawn furniture

-            ‘Wonky Donkey’ bar on the lawn (cash or card)

-            The Haybarn for food reception, speeches and dancing - fairy lights throughout, tables and chairs

-            Wireless mic for speeches and PA with speakers and connecting cables

-            Luxury barn accommodation for 14 guests (2 nights)

-            3 x glamping units for 6-8 guests for 1 night (May-Sep only)

-            Set up from 1pm day prior

-            Dedicated wedding planner & on the day coordinator

-            All glassware and bar staff

Booking process

1.        What are your payment terms?

We ask for a 25% non-refundable/non-transferable deposit upon completion of a booking form to secure your wedding date. The 75% Balance invoice is due 9 months prior to your celebrations. A final invoice is issued 2 months prior to your celebrations, which will include a refundable damage deposit of £500 plus your drinks package charges and any additional extras you might like to include such as a firepit or late check out. All our quoted prices are inc. VAT.

2.        How do we make a reservation?
If you would like to hold a date, you can do so free of charge and with no obligation for a period of 7 days whilst you consult diaries, suppliers, registrars or church availability. 

3.        How do we confirm our booking?
We require you to complete, sign and date a booking form and transfer your 25% deposit by BACS or credit card (with fee applicable). We do not accept cheques or cash. We will send remittance and can fully confirm your date once the funds have cleared into our account.
